Automatic invoice reminders
Set follow-ups for unpaid invoices, pause them when needed, and keep payment status current.

RemindersLink to “Reminders”
- Settings → Invoicing → “Reminder days” sets when a client is reminded about a sent invoice, counted from its due date. The default is -3, 0, 3, 7: three days before, on the day, then three and seven days after.
- Leave it empty to turn reminders off. You can list up to 12 days, from 90 days before to 365 days after.
- Reminders go out at 9am in your workspace’s timezone (Settings → Workspace → Timezone), and “due today” or “3 days late” is counted on that same calendar. Estimates are never chased.
- If you set a “Late fee (% per year)”, a “Flat late fee” or both, reminders include the late fee. “Grace days” hold every fee off for that many days after the due date. Each invoice keeps the late-fee terms it was sent with. If part of the invoice has been paid, the reminder shows what was received and asks only for the balance.
Chase one invoice, or hold offLink to “Chase one invoice, or hold off”
- Each sent invoice on a project’s Invoices tab shows its progress: Sent, Viewed (by the client — your own previews never count), Reminded, and Paid.
- “Nudge now” emails the client a reminder straight away, in the same words the schedule uses. At most one reminder goes out per invoice per day, so a nudge and the morning schedule never both arrive.
- “Pause reminders” stops the automatic reminders for that one invoice — for the client who has promised a date. Late fees still accrue. “Resume reminders” turns them back on.
Existing recurring invoicesLink to “Existing recurring invoices”
New recurring plans are not offered. If your workspace already has a recurring invoice, the Invoices tab retains its Pause and Resume controls so you can manage it without losing the record, and “Set an end date or limit” stops it on a date or after a number of further invoices. No drafts are issued while the project is archived or in the trash.
What to write when an invoice is late anyway: Send the invoice the day the work is done.
