The Change Order.

A one-page record of extra work, a price, and a yes. The client types their name. Accounts payable can print it.

People used to say “send me a time.” Then they said “send me a Calendly.” The useful sentence here is the same shape: send a Change Order. Not a Slack “sounds good.” Not a weekend. A page.

Four facts, in order

The extra round goes on the invoice because it first went on a page they could approve.

  1. Step 1

    The scope is locked

    Deliverables, two rounds, a date, a price. The client already said yes on that page.

  2. Step 2

    The extra work is written down

    Round three. A footer that was not in the list. The new date, if Thursday moves.

  3. Step 3

    They approve the page

    A link. No account. They type their name. That is the authorization AP will ask for.

  4. Step 4

    The invoice follows

    The extra work becomes a line on an invoice — web and PDF, with a Pay button. This page is not that invoice.

The sentence

That’s outside the current scope. I’ll send a Change Order with the cost and the new date. Happy to keep going on the rest in the meantime.

Most people say okay. The ones who bristle are previewing the rest of the job. Either answer is usable, because it is on a page instead of in a thread named after a color. The longer field note is scope creep is a missing Change Order.

Questions AP actually asks

Is a Change Order an invoice?
No. It is the authorization for work that was not in the locked scope. After it is approved, the studio issues an invoice. Accounts payable pays the invoice.
Does the client need an account?
No. They open a link and type their name. There is nothing to provision in IT and nothing to reset.
What if they decline?
The original scope stands. The extra work is not started. That refusal is recorded on the same page, with a name and a time.
Can accounts payable pay from this page?
Not from the Change Order. Pay lives on the invoice that is minted after approval — same job, a document AP already knows how to process.
