Scopes of work
Scope of work software for freelancers
Write the deliverables, timeline, revision rounds and price on one page your client approves online, then put a price on anything extra with a change order.
Free plan: 1 client and 3 active projects. No credit card.
- Clients approve scope online
- Counted revision rounds
- Change orders for extra work
What your client sees
The scope as a page they can read on a phone, with a PDF to download. They approve it from the secure link emailed to the address you have on file, by typing their full name, and the date and time are recorded. No account, no login.
- Approve by typing their full name
- Decline with a reason, so a no is on the record too
- Ask a question first, which spends no round
How it works
Step 1
Start from a brief or a template
Send an intake link and the answers land on the project as the brief. Or start from a scope template (Brand identity, Marketing website, Photoshoot, Consulting engagement) that fills in deliverables, rounds, timeline and price.
Step 2
Write the scope
Deliverables, timeline, revision rounds, price, and how long the quote stands. Edit every number before it goes.
Step 3
Send it to approve
Send the scope as a link. Once your client approves it, its price and deliverables are locked; a change order is how an agreed scope changes.
Step 4
Count the rounds, price the rest
Each revision round is counted against the scope. The project is flagged on the last included round, and past the agreed rounds you send a change order with its own price and dates.
What the scope holds you both to
Every feature below is in PaloWorks today. Each one names the plan it is on.
- Send the scope as a linkEvery plan
- A page your client reads in the browser, and a PDF of the same scope to download.
- Clients approve scope onlineEvery plan
- A typed full name, from the signing link emailed to your client, recorded with the date and time.
- Counted revision roundsEvery plan
- The first draft is round zero and is not counted. Notes that arrive while a round is open join it, so three emails in one afternoon are one round.
- Warns on extra revisionsEvery plan
- Your dashboard and the project flag the last included round, while there is still time to raise a change order, and again once the rounds are used up.
- Change orders for extra workEvery plan
- Describe what changed, its price and any extra rounds. Your client approves or declines from a link, and if it has a price, a linked invoice is drafted.
- Shareable intake formsEvery plan
- Paragraphs, short answers, choices and dates, any of them optional. Free keeps 1 intake template; Pro keeps as many as you need.
- Draft from intakePro
- Turn a submitted client brief into a lockable scope. You accept or throw it out — the client never sees the draft.
- Contracts with e-signPro
- Generate a project agreement from your scope and have the client sign it online.
Plans
- Free
- Free covers 1 client and 3 active projects: intake links, scopes, revision tracking, change orders, invoices, and card payments through your own Stripe account.
- Pro
- Unlimited clients and projects, plus contracts, time tracking, calendar, reports, planner, intake templates, multiple tax rates, draft from intake, and api and assistant access.
- Studio
- Studio adds team workspaces, priority support, and document branding, and room for 3 teammates beside the owner.
Questions people ask
- Do my clients need an account?
- No. Every document is a link your client opens in their browser, with nothing to sign up for and no password. A client who would rather see all their projects in one place can sign in with a one-time code sent to their email, but nothing requires it.
- What counts as a revision round?
- A round is one batch of changes going back to the client. The first draft is round zero and is not counted, and notes that arrive while a round is still open join that round instead of starting a new one.
- What happens when the client asks for more than the scope?
- Send a change order: what changed, the price, and any extra rounds. Your client approves it by typing their name, or declines it and the original scope stands.
- Can I edit a scope after the client approves it?
- Not the price or the deliverables. Those are locked under the recorded approval, so your client is never looking at terms they did not accept. A change order is how an agreed scope changes.
- Is it on the free plan?
- Yes. Scopes, revision rounds, change orders and intake forms are on every plan. Free is capped at 1 client and 3 active projects; contracts with e-sign and drafting a scope from an intake are on Pro.
