Client management
Client management for freelancers
Each client project keeps its intake, scope, change orders, invoices and messages in one place, and your client opens and approves everything from a link with no login.
Free plan: 1 client and 3 active projects. No credit card.
- From brief to paid invoice
- Client portal on every plan
- Calendar and Gantt on Pro
What your client sees
A project you create in PaloWorks starts with a client portal: one link to the scope, invoices and change orders you have shared, what is outstanding, and anything waiting on them. They open, approve and pay from a link. No account to create, no login required.
- A portal link per project, on every plan
- Optional sign-in with an emailed code, to see every project at once
- On Pro, a status link that answers “any update?”
How it works
Step 1
Take the brief
Send an intake link. Your client answers in the browser and the brief lands on the project.
Step 2
Agree the scope
Deliverables, revision rounds, timeline and price, approved online by your client typing their name.
Step 3
Keep the job moving
Rounds are counted, extra work goes on a change order, and the client conversation stays on the project, with private notes beside it.
Step 4
Get paid
Deposit and balance invoices, card payments, automatic reminders, and a statement of account per client.
Every client, every job, one desk
Every feature below is in PaloWorks today. Each one names the plan it is on.
- A project for every jobEvery plan
- The brief, the scope and agreement, revisions and change orders, invoices, delivery and messages, all on the project.
- Shareable intake formsEvery plan
- Paragraphs, short answers, choices and dates. The answers become the project’s brief.
- Client portal includedEvery plan
- A project you create starts with one, and “Create portal link” makes one for any other. Open it to see exactly what your client sees.
- Clients approve scope onlineEvery plan
- Scopes and change orders are approved by a typed name, recorded with the date and time.
- Client conversationEvery plan
- Write to your client from the project and the message goes by email; they reply from their portal. Private notes sit beside it, and your client never sees them.
- Statements and read receiptsEvery plan
- A statement of account per client, and a note of when a client opens a document you sent.
- Import clients from a CSVEvery plan
- Bring a contact export from your old tool. On Free the import stops at 1 client.
- Planner: phases and GanttPro
- Plan every project in phases, watch them on one Gantt chart, and get a forecast completion date from the progress you actually made — before a client has to ask.
- CalendarPro
- See every due date, revision, and logged hour in one month view.
- Client status linksPro
- A page that shows the current stage, the estimated completion date and progress, and never prices or your notes.
- Team workspacesStudio
- Invite your collaborators into a shared workspace with their own logins. Room for 3 teammates beside the owner.

Questions people ask
- Do my clients need an account?
- No. Every document is a link your client opens in their browser, with nothing to sign up for and no password. A client who would rather see all their projects in one place can sign in with a one-time code sent to their email, but nothing requires it.
- How many clients can I manage on the free plan?
- Free covers 1 client and 3 active projects, with intake, scope, change orders, invoices and the client portal. Pro has unlimited clients and projects.
- Is there a calendar and a Gantt chart?
- Yes, on Pro. The planner puts every project’s phases on one Gantt chart with a forecast completion date, and the calendar shows due dates, revisions and logged hours in a month view.
- Can I bring my clients from another tool?
- Yes. Export your contacts as a CSV from HoneyBook, Bonsai, Dubsado or a spreadsheet and import the file. The plan’s client cap still applies.
- Can my team use it?
- Team workspaces are on Studio, with room for 3 teammates beside the owner.
