Photography invoice template

Photography invoices go wrong in one specific way: the money is itemised and the licence is not. Then the client uses a headshot on a billboard and everyone is upset. This invoice bills the day and names the usage on the same page.

Bill the licence, not just the shutter

Your fee has two parts: the work of making the images, and the permission to use them. Put both on the invoice as separate lines even when you charge one number for them, because that is what makes an expanded-usage conversation later a price change instead of an argument. A commercial licence for a national campaign is not the same product as web and social use, and an invoice that never said so is hard to enforce.

Deposits, weather, and the reschedule line

For booked shoot dates the deposit is holding a day you can no longer sell, so it is non-refundable and the invoice should say that in plain words. Give the client one free reschedule with [14] days notice and charge a rebooking fee after that. Weather days on outdoor shoots are the one exception worth writing in — you look reasonable, and you still get paid for the crew you already called.

Turnaround is a term, not a vibe

State the delivery window from the shoot date, state how long the gallery stays online, and state what an archive retrieval costs after that. Photographers lose whole afternoons to “can you re-send the 2023 wedding” requests that could have been a [75] fee agreed on the original invoice.

LICENCE GRANTED
On receipt of payment in full, [Photographer] grants [Client] a
[non-exclusive], [worldwide] licence to use the delivered images for
[web, social media, and internal presentations] for [two years] from the
delivery date.

Not included in this licence: [paid advertising, out-of-home and print
media, packaging, resale, and any use by a third party or affiliated
brand]. Any of these can be added — ask and I will quote the extension.

Copyright in all images remains with [Photographer]. [Client] may not
crop out a credit where one is required, apply filters that materially
alter the images, or sub-license them to another party.

DELIVERY AND ARCHIVE

· Archive retrieval after that period: $[75.00] per request, subject to
  availability. Raw/unedited files are not delivered as standard.

PAYMENT TERMS
1. Payment is due by [2026-03-19]. The booking deposit is non-refundable
   and holds the shoot date exclusively.

2. Rescheduling. One reschedule is free with at least [14] days written
   notice. After that, or with shorter notice, a rebooking fee of
   $[250.00] applies. If an outdoor shoot is called off for weather by
   mutual agreement, the date moves at no charge and any crew already
   committed is billed at the rates above.

3. Cancellation. If [Client] cancels within [7] days of the shoot date,
   [50]% of the photography fee remains payable, plus any non-refundable
   costs already incurred on your behalf.

4. Late payment. Balances unpaid after the due date accrue interest at
   [1.5]% per month, or the maximum permitted by law in [jurisdiction] if
   lower. Files stay licensed for review only until payment clears.

5. Overtime on the day is billed at $[150.00] per hour, agreed on site.

This is a practical starting point rather than legal advice. Terms like late fees and payment periods are regulated differently depending on where you and your client are, so check anything you plan to enforce.
