Reminders arrive in your morning, not ours
- Payment reminders now go out at 9am in your workspace’s timezone instead of 9am UTC, so a Los Angeles studio’s clients are no longer emailed at 2am.
- Invoice numbers can restart each year instead of each month — choose it under Settings → Invoicing → Invoice numbers. Numbers already issued keep theirs.
- Project search and the status filter now cover every page of your projects, and the invoice and client tables sort by any column.
- Prices can include tax: turn on “Prices include tax” in Settings → Invoicing and the figure you type is the total, with the tax shown inside it (“Includes GST $10”) on the invoice, the PDF and agreements.
Invoices keep exactly what you typed
- Fixed: invoices no longer quietly change what you entered. Lines with no rate, very large amounts, blank quantities, and amounts with more than two decimals used to be dropped, capped or rounded; now the form says what to fix and saves nothing until you do.
- The line editor has “Undo remove line”, shows the currency beside Rate and Discount, and takes quantities to two decimals, such as 1.1.
- In the tax picker, a rate you type is no longer overwritten when your saved rates load, a custom tax name survives switching tax off and on, and there is a Retry if saved rates fail to load.
- The unsaved-changes warning now also covers the new client, project and invoice forms, switching workspace, and changing how projects are sorted.
- Drawn signatures have “Undo last stroke” and “Restore drawing”.
- On intake and Book me forms, required questions say “(required)”, and optional pick-one questions offer “Leave unanswered”.
- Client import has an example CSV to download, and pasting a full international phone number picks its country.
Shortcuts, search, and more accurate read receipts
- Press ? for keyboard shortcuts, and g then d, p, c or r to jump to the dashboard, projects, clients or reports.
- Search (Cmd/Ctrl+K) now covers Leads and Communications, with Retry and “Clear recent items”.
- The Clients, Projects, Invoices and Planner lists have First and Last page links, and the phone menu has a Close button and scrolls on short screens.
- If your browser blocks copying, copy buttons show the link or text so you can copy it by hand.
- Fixed: opening the project portal no longer marks the agreement as read. Only opening the agreement itself does.
- Fixed: a file you removed, or one the safety scan blocked, can no longer be downloaded when the scan result arrives late.
ClientReady is now PaloWorks
- ClientReady is now called PaloWorks. The new name appears across the app, the website, emails and document footers. Your account and projects are unchanged.
- The Terms of Service dated 13 September say PaloWorks is provided by Ferrier Industries LLC and was previously called ClientReady. You are asked to accept the current Terms and Privacy Policy the next time you open your workspace.
- Add a company name in Settings, such as “Cool Photos, LLC”, and it prints above your name on invoices, scopes, contracts, statements, the portal and their PDFs. Every plan; only the owner can edit it.
- Logos are now uploaded rather than linked by web address. A linked logo shows an “Upload your logo again” notice and is left off PDFs until you do (document branding is Studio).
- Change your account email from Settings; the old address keeps working until you confirm the new one.
Signing records your client can keep
- Before signing a contract or booking file, your client reads the full electronic-signing disclosure and ticks a consent box; signing is refused without it. Your countersignature asks for the same consent.
- The Contract tab shows where the agreement stands — drafted, link ready, opened, signed, countersigned — and once it is signed you can print a certificate of completion.
- After signing, your client can download the signing record next to the signed PDF. The signed PDF prints the IP address, browser, agreement ID, document hash and the consent text they agreed to.
- New signatures also record the page address and an approximate city, region and country worked out from the network address. It is not GPS and not proof of identity.
- While an agreement is unsigned, the client portal lists “Review and sign the agreement” first among what is waiting on your client, and the booking file shows a “Your next steps” checklist.
- Fixed: a notification email that fails to send can no longer undo or hide a signature.
Planner, leads, and invoices
- The Planner opens on every project at once, one bar per project, with a row of key dates you can drag or move with the arrow keys. Its summary shows plans in progress, payments received, the next deadline, and what is still to invoice.
- On any Gantt chart you can add a phase from the last row, rename a phase by clicking its name, reorder phases by dragging the handle or with Alt+Up/Down, and add a key date on the chart itself.
- Choose which brief a project's intake link carries. The link stays the same, and you are warned before answers your client has already typed are cleared.
- “Draft a change order from the log” reads the latest revision request against the locked scope and creates a draft change order, plus a draft invoice when there is an amount. You set the description, amount and extra rounds, and nothing is sent.
- Leads can come from more than one inquiry form, each with its own brief, link and embed code; leads have a category you can filter by and an inquiry-to-booked chart, and the sidebar shows unread counts on Leads and Communications. Projects can be dragged between pipeline stages.
- The Invoices page filters by project and charts money received or invoiced over 3, 6 or 12 months. Fixed: outstanding totals now take off part payments already received.
- Invoices and agreements share one tax picker: switch tax off for exempt work or apply several saved rates, each printed on its own line. A payment you recorded by hand can be undone, with a reason; nothing is refunded.
- The start/stop timer and new monthly retainers have been retired. Log hours on the Time tab; a timer left running can still be saved with “Save remaining time”, and existing retainers can still be paused and resumed.
Leads, one agreement, and deliveries
- Every inquiry from your Book me form now lands in a Leads inbox, even when your plan has reached its project limit. Move each lead through its stages, set a next step and a follow-up date, and turn it into a client and project when they book.
- Scope and contract come together as one Agreement: brief, deliverables, timeline, fee, a payment plan of up to twelve payments, and terms. Your client can comment beside any section and signs once, and every version is kept with its own PDF.
- A payment can fall due on signature, on a date, on delivery, or when a key date is completed, and the Invoices tab shows a timeline of what is agreed, invoiced, received and still owed.
- Invoices are issued automatically only from a signed agreement's payment plan. Signing an older-style contract no longer issues a deposit invoice by itself; send it from the Invoices tab.
- Projects open on an Overview tab: summary, agreement, brief, plan progress, and money received and outstanding.
- A Delivery tab sends files, proofs to approve, or physical goods on a private page for your client. Downloads can stay locked until an invoice is paid, clients can approve a proof or leave feedback, and for shipped goods they confirm the address and that it arrived.
- Clients can attach files, up to 50 MB each, to their brief and to a Book me inquiry.
Conversations, key dates, and payments that add up
- Each project has a Messages page with the client conversation and a private team room where you can @mention teammates.
- A Communications page lists client messages and inquiry replies and shows whether each email was delivered. From it you can send your client an update that links to their portal, brief, agreement, invoice or delivery.
- Add key dates, such as a shoot or a launch, and choose whether your client sees them. They show on the Gantt chart, on the Calendar and its feed, and under “Dates to remember” on the client portal.
- The all-projects chart can be edited like a project's plan — drag, resize, rename, mark phases complete — and you can choose to show the Gantt chart on the client status page. It is off by default.
- The pipeline has a Completed / Archive column. Moving a project there archives it, and unpaid balances stay visible until they are settled.
- Reports show invoiced against collected for each month, what is outstanding (overdue, due, or with no due date), and hours by day.
- Mark paid now records the remaining balance as a payment, so reports, statements and your client's pages agree. A partial refund in Stripe lowers the amount shown as paid, and an invoice goes back to unpaid if money is owed again after a refund or a lost dispute.
- Two-step verification now also applies to magic-link and Google sign-in.
- Each version of the Terms of Service stays readable at its own address, and Settings shows which version you accepted.
- Fixed: the booking file now shows the balance left after part payments.
Clients can sign in to see every project in one place
- Clients can sign in with a one-time code sent to their email and see every project, open invoice and document you have shared with them — across every studio they work with on PaloWorks. There is no password, and every link keeps working without signing in.
- Their page gathers what is waiting on them — an agreement to sign, a scope or change order to approve, an invoice to pay — and shows each balance due with part payments taken off.
- Each project portal now has a Sign in link, and clients can see and sign out the devices they are signed in on.
Part payments, statements, and richer intake forms
- Record a bank transfer, cheque or cash payment against an invoice for any part of the balance. The invoice shows “Paid $200 of $450”, and the Pay button, reminders and the client's page ask only for what is left.
- Fixed: when part of an invoice was already covered by a prepaid balance, the Pay button charged the full amount again. It now charges the balance.
- Statements of account have a date range, every payment as its own line with a running balance, and a PDF download.
- Clients can correct their billing address and tax number from their portal; you are notified of the change.
- Each phase can carry a note for the client, shown on their status page.
- Intake questions can be a short answer, pick one, pick any, or a date, and any question can be optional. The form also keeps a draft in the client's browser.
- Owners can require two-step verification for everyone in the workspace, and Google can be connected or disconnected from Settings.
- Confirmations open in an in-page dialog instead of a browser prompt, and tables become cards and the calendar an agenda on phones.
- The dashboard shows the latest from your clients, and invoices can be searched by number, project or client.
- Contracts can be signed with a drawn signature as well as the typed name, by your client and by you when you countersign; both appear on the signed PDF.
- Documents you share now tell your client that you can see when they open them, and the Privacy Policy explains exactly what is recorded.
Invoice timeline, reminders you control, and account safety
- Each sent invoice shows its progress — Sent, Viewed, Reminded, Paid — so you can see whether a client never opened it or opened it and went quiet.
- “Nudge now” sends a payment reminder on the spot, and reminders can be paused for a single invoice when a client has promised a date.
- Signing in from a new kind of device, and changing or resetting your password, now send you an email.
- A banner asks you to confirm your email address, which is what lets invites addressed to you be accepted.
- Opening a link to a page in the app while signed out now returns you to that page after you sign in.
- The pipeline has a Move… menu on each card to jump a project to any stage, and the dashboard's figures link to the lists behind them.
- Duplicating a project copies its phases too, rescheduled to start today.
- A voided invoice no longer counts toward what a project has been invoiced.
Passkeys, dark mode, and a notification bell
- Sign in with a passkey — Face ID, Touch ID, Windows Hello, or a security key — added from Settings.
- Dark mode for the app: choose Light, Dark, or Match my device in Settings → Appearance. The documents your clients open stay light.
- A notification bell in the app header shows what clients do — opening a document, signing, approving, paying, submitting a brief, or writing a message — each linked to its project.
- A start/stop timer on the Time tab. While it runs, the elapsed time and project stay visible in the app header on every page.
- Breadcrumbs on project, client, and report pages, and page-shaped loading placeholders on the heavier screens.
- App icons and a web app manifest, so PaloWorks can be added to a phone's home screen.
Clients, invoices, and email
- Every project has a message thread between you and your client.
- A sent invoice with no money received can be voided instead of deleted, so the record and the number sequence stay intact.
- Invoices can show your business address and your client's billing address and tax number.
- Every email the product sends is branded HTML, and bounces and spam complaints are tracked, so you can tell when a message did not arrive.
- Deposit and payment-schedule invoices are emailed to your client the moment they are issued. Before this fix they were marked sent without an email going out.
- Portal and statement-of-account links can be revoked and reissued from the app.
- The Book me embed now loads on your own website instead of being blocked by the browser.
- An invoice that is already well past due gets one catch-up reminder, not one every morning.
Security and reliability
- Updated the web framework to pick up a security fix in image handling.
- An invite locked to an email address can only be accepted by someone who has proved they own that mailbox, and sending invites is rate-limited.
- If a subscription payment fails, paid features stay on for 21 days while you sort out the card, then the workspace moves to Free. Nothing is deleted.
- Contract and scope PDFs no longer fail to generate when a name contains characters the PDF font cannot draw; those characters are simplified instead.
- When a form cannot be saved, you see the actual reason instead of a generic error.
- “Due today” and the recycle-bin deadline no longer shift by a day depending on the server's time zone.
- Double-clicking to apply a phase template no longer creates the plan twice.
Help center and public pages
- A help center article for every shipped feature, with numbered steps where the job has steps.
- The legal pages now quote the retention and deletion windows the product actually enforces, and /.well-known/security.txt says where to report a vulnerability.
- Every public page has a link-preview image.
- The signup page has a show/hide password toggle and says up front: no card needed, a 14-day refund, and cancel from Settings.
Booking file, payment schedules, and Book me
- A one-page booking file: your client reads the scope, signs, and pays the deposit in one place.
- Payment schedules split a locked fee into slices, each issued on signature, on a date, or on delivery.
- Prepaid balances: take money up front and let later invoices draw it down.
- A public Book me page, which you can also embed on your own site, so new clients can send an inquiry.
- Clients can pay USD invoices by US bank transfer (ACH) as well as by card; Apple Pay and Google Pay come with card.
- Deposit and balance invoices are now two clearly different cards instead of two identical buttons.
- Mark any project phase as done in one click.
- Google Calendar can subscribe to the Pro calendar feed.
Clearer plans and terms
- The Free plan is described the same way everywhere: 1 client and 3 active projects.
- The Terms of Service and the contract templates include a liability cap and binding individual arbitration.
Sign-in, e-signatures, and the timeline
- Magic-link sign-in keeps working when an email security scanner opens the link before you do.
- An e-signature records the signer's IP address, browser, and a hash of the exact text they signed.
- Drag phase bars on the project timeline, and track percent complete separately for each phase.
